HI FLY is a leading widebody aircraft wet lease specialist operating worldwide, with an Airbus fleet of A330 and A340. The wet lease business market is very demanding, and airlines are increasingly opting for wet lease solutions as they are found to be reliable, safe, and efficient. For that reason, Hi Fly fleet is steadily growing with new widebody additions in the coming months.

Considering the forecasted growth, we are currently recruiting a highly motivated Flight Operations Administrative Support / Office Manager to join our office in Luqa, Malta.

This combined role offers a unique opportunity to contribute both to the efficiency of flight operations and to the smooth management of office activities, ensuring strong coordination between operational and administrative functions.


WHAT WILL BE YOUR MAIN RESPONSIBILITIES:

  • Provide assistance and administrative support to the Nominated Person Flight Operations

  • Create and update of Individual Folders for Pilots and Cabin Crew Members

  • Prepare documentation for internal and external audits

  • Control of pilot and cabin crew licenses, qualifications and their validity

  • Update the flight crew member and cabin crew member information worksheet

  • Maintain documentation related to Flight Operations Dept. as defined by the Nominated Person Flight Operations

  • Develop and maintain electronic and hard copy filing system

  • Prepare of communications (TM-CAD, other local authorities, international authorities)

  • Coordinate meetings and conference calls as needed or anticipated

  • Record minutes at various meetings and archive them accordingly


SECONDARY RESPONSABILITIES:

  • Oversee day-to-day office operations.

  • Manage office supplies and equipment.

  • Handle communication and correspondence.

  • Ensure a safe and well-maintained work environment

  • Liaise with building management for office facilities

  • Implement and enforce office policies and procedures.

  • Other related duties as assigned

SOME OF OUR REQUIREMENTS:

  • University degree in a relevant field;

  • Strong organizational and analytical skills;

  • Good proficiency in Microsoft Office tools (particularly Access, Word and Excel);

  • Experience in the aviation industry (preferably);

  • Fluent in both written and spoken English (mandatory).
